What you get

GaragePilots features: job cards, GST billing, parts and technician app

Every module below ships in the same install. There is no add-on to buy later, and no feature held back for a higher tier you have not reached yet.

Digital job cards

Check-in to delivery on one card. Status visible to everyone who needs it, updated by the person doing the work.

  • Duplicate-checked customer and vehicle records
  • Bay and technician assignment
  • Complaint, findings and photos on one timeline

Versioned estimates

Every revision kept and timestamped. The customer sees exactly the version they approved, and so do you.

  • Line-by-line customer approval
  • Server-enforced discount ceilings by role
  • Technician findings become new lines, not surprises

Parts and inventory

Stock moves when a part is issued to a job, not when someone remembers to write it down.

  • Moving weighted-average part costing
  • Low-stock alerts before you run out
  • Supplier invoices and purchase records

GST billing and collections

Invoices carry part numbers, HSN codes and the correct tax split, built from the lines the customer already approved.

  • UPI QR printed on the invoice
  • Online payment into your own account
  • Branded PDF invoices and reports

Technician app

A full-screen tablet app for the workshop floor that keeps working when the Wi-Fi does not.

  • Works offline, syncs on reconnect
  • Photo capture against each finding
  • Labour time recorded as it happens

Customer portal

Your customer gets a private link by message. No app, no password, no account to create.

  • Live repair status and photo proof
  • Approve or decline estimate lines
  • Service history and invoice downloads

Accounting and GST

The part most garage software stops short of: what your accountant actually needs in filing week.

  • GSTR-3B summary
  • GSTR-2B reconciliation against supplier invoices
  • Tally XML and Zoho CSV export

Owner reporting

Margin per job, bay occupancy, effective labour rate and technician output — measured, not estimated.

  • Branch comparison for multi-branch owners
  • Scheduled email reports and a daily digest
  • Append-only audit ledger nobody can edit

The job card an advisor works from

Eight stages from check-in to delivery, with the customer's complaints and the technician's findings on one timeline. Each observation is marked customer-visible or internal, so nothing reaches the invoice unannounced.

What the owner sees each morning

Jobs on the floor, revenue invoiced and average bill value, filtered by period and by branch. The language switch in the corner is the whole interface, not a partial translation.

How it works

Follow one car from the gate to the gate pass

Five stages, each one handing the next a record it can trust. Nobody re-types anything a colleague already entered.

  1. Intake

    Produces

Job card, arrival time, odometer reading

The car arrives and the paperwork is already done

Reception finds the customer by phone or registration in under a second, or creates one with a duplicate check on both. Check-in stamps the arrival time, captures the odometer, and opens a job card pre-filled with the vehicle and the complaint.

  2. Estimate

    Produces

    Versioned estimate, customer approval record

The customer approves a price before a spanner is lifted

The advisor builds a line-by-line estimate from your own service catalogue and parts list. The customer opens it on their phone — no app to install — and approves or declines each line. Every revision is kept and timestamped, so there is a clear record if anyone later disputes which version was agreed.

  3. Live repair

    Produces

Labour time, parts consumption, inspection photos

The floor updates itself as the work happens

Technicians work from a full-screen tablet app that keeps going when the workshop Wi-Fi drops and syncs when it returns. Parts issued to a job leave stock the moment they are picked. Photos attach to the finding they prove.

  4. Quality check

    Produces

    QC sign-off, technician suggestions

    Nothing reaches the customer unchecked

A named person signs off each job against its checklist. Any extra work the technician found goes back to the advisor as a suggestion, and to the customer as a fresh estimate line to approve — not a line they find on the final bill.

  5. Delivery

    Produces

GST invoice, payment record, service history

The invoice is ready before the customer reaches the counter

A GST-compliant invoice builds itself from the approved lines, with part numbers and HSN codes intact. The customer pays by scanning the UPI QR on the invoice, or online through the portal, straight into your own account.
